What is customer feedback
costing you?

Estimate how much management time goes into reading, responding to, organizing and reporting on customer feedback — and see where a centralized workflow can help.

Your business

Everything below is editable — the defaults are just a starting point.

Feedback volume

Per location, per month. Leave a source at 0 if you don't use it.

Cost & assumptions

All figures in CAD.

Customer signals / month

174

58 per location × 3

Management hours / month

13 hrs

≈ 3.0 hrs/week

Management cost / month

C$496

Management cost / year

C$5,951

How this was calculated

  • signals/month = (25 + 15 + 10 + 8) × 3 = 174
  • hours/month = 174 × 4.5 min ÷ 60 = 13
  • cost/month = 13 hrs × C$38 = C$496
  • cost/year = cost/month × 12 = C$5,951

That works out to about 1.0 hours per manager per week. If that doesn't match what your team actually spends, adjust the minutes per piece of feedback — or tick the box above and enter your real hours.

Illustrative scenarios

What the same workload would cost if a centralized workflow removed part of the manual effort. These are illustrative figures to frame the decision — not a guaranteed saving, and not a prediction about your team.

If 20% less manual effort

10 hrs/mo

C$397/mo · C$4,761/yr

If 35% less manual effort

8 hrs/mo

C$322/mo · C$3,868/yr

If 50% less manual effort

7 hrs/mo

C$248/mo · C$2,975/yr

What the hours don't show

Time is the part you can count. These are the things that tend to go wrong alongside it — they may or may not apply to you.

  • A recurring issue can be split across reviews, surveys, QR feedback, email — so nobody sees it as one problem.
  • Comparing 3 locations against each other usually means someone building a spreadsheet by hand every month.
  • When a complaint gets handed to someone to fix, there is often no record of who owns it or whether it was actually resolved.
  • Feedback that arrives while a manager is off shift tends to sit until someone happens to check.

One place to collect every source, see what keeps coming up, assign who fixes it, and check whether it worked.

Based on your inputs, the operate plan fits: C$237/month for 3 locations, against an estimated C$496/month of management time.

What this calculator does and doesn't do

It estimates workload, not revenue

This tool multiplies your own numbers — locations, feedback volume, hourly cost — to work out roughly how much labour goes into handling customer feedback. Every step of the arithmetic is printed on the page so you can check it or argue with it.

Why it doesn't predict a revenue increase

An earlier version of this calculator estimated the extra revenue you'd earn from collecting more reviews. It chained together several assumed conversion rates to produce a confident-looking dollar figure. We can't stand behind that chain for any individual business, so we removed it. Published research does find a correlation between ratings and revenue — notably a Harvard Business School study of restaurant ratings — but a correlation observed across an industry is not a forecast for your shop, and presenting it as one would be dishonest.

The assumptions, stated plainly

  • A month is treated as 4.33 weeks when converting between weekly and monthly hours.
  • The default of 4.5 minutes per piece of feedback is a starting point, not a measurement. It is the single biggest driver of the result — change it to whatever matches your team.
  • The “where the work goes” split is illustrative. We have not measured how your team divides its time.
  • The efficiency scenarios (20% / 35% / 50%) are framing devices, not promises. Nothing here guarantees a saving.
  • All amounts are in CAD.
